Zapier Integration: Messaging Whiz and Advanced Actions

Overview

Relatable's expanded Zapier integration allows you to connect your meeting recorders, VoIP systems, and other tools directly to your Relatable database—including the ability to message Whiz, your AI relationship assistant.


New Zapier Actions

Message Whiz

Send messages directly to Whiz via Zapier. Whiz will process the message and update your Relatable database accordingly—just like chatting with Whiz inside the app.

Use cases:

  • Push meeting transcript summaries for Whiz to extract and save relationship details
  • Send AI-processed insights from other tools for database updates
  • Automate relationship data entry from external sources

Create Interaction

Log interactions from external systems into Relatable.

Use cases:

  • Log VoIP phone calls automatically
  • Record meeting occurrences from calendar tools
  • Track touchpoints from communication platforms

Create/Update Contact

Create new contacts or update existing contact information via Zapier.

Use cases:

  • Sync contacts from other databases
  • Update contact details from form submissions
  • Auto-populate contact information from email tools

Trigger: Reminder Created

Trigger automations when a reminder is created in Relatable.

Use cases:

  • Add reminders to external task management systems
  • Sync follow-up tasks with your to-do app
  • Create calendar events for important reminders

The Meeting Transcript Workflow

This is the most powerful use case for the new Whiz messaging action.

What it does: Automatically extracts relationship details from your meeting transcripts and updates your Relatable contacts.


Required tools:

  • Meeting recorder (Fireflies, Otter, Grain, etc.)
  • Zapier account
  • ChatGPT (or other AI processor) via Zapier
  • Relatable with Whiz

How it works:

  1. Trigger: New meeting transcript in your recording tool
  2. Step 1: Send transcript to ChatGPT with extraction prompt
  3. Step 2: ChatGPT returns extracted relationship details (professional info, personal details, interesting nuggets)
  4. Step 3: Send extracted information to Whiz via Relatable Zapier action
  5. Result: Whiz updates the relevant contact profile in your database

Sample ChatGPT Prompt:

Review this meeting transcript. Extract information about the people I met with (excluding myself):

  • Professional details (role, company, projects)
  • Personal details (family, hobbies, interests)
  • Interesting or unique nuggets (travel plans, challenges, recent events)

Format the output as a message to add to my relationship database.

Getting Started

  1. Connect Relatable to Zapier (Settings → Integrations → Zapier)
  2. Create a new Zap with your meeting recorder as the trigger
  3. Add a ChatGPT step to process the transcript
  4. Add the Relatable "Message Whiz" action
  5. Map the ChatGPT output to the Whiz message field
  6. Activate your Zap

Tips for Best Results

  • Be specific in your ChatGPT prompt about what information to extract
  • Include a link to the full transcript in your Whiz message for reference
  • Test with a few transcripts before activating the automated workflow
  • Review the first few automated updates to refine your extraction prompt

Privacy & Data Handling

  • Meeting transcripts are processed through the tools you configure (ChatGPT, etc.)
  • Ensure your AI processing tools meet your privacy requirements
  • Relatable only stores the extracted information you send to Whiz
  • Full transcripts are not stored in Relatable unless you include them
